EFFECTIVE 27 AUGUST 2026 · WHAT WE COLLECT AND WHY, PLAINLY
First Ring answers business phone lines with an AI receptionist. That means we handle two kinds of people’s information: our clients (the businesses that sign up) and their callers (the people who ring those businesses). This page covers both.
1. If you called a line we answer
- The call is recorded and transcribed — and the receptionist tells you so at the very start of the call, before you say anything.
- We keep what you chose to share on the call so the business can do the job you asked for: typically your name, callback number, address, what’s wrong, and the appointment that was booked.
- That information goes to the business you called — it appears on their dashboard as the record of your call. We don’t sell it, and we don’t use it to advertise to you.
- Want a recording or your details deleted? Ask the business you called, or email us at firstringphone@gmail.com and we’ll handle it.
2. If you're a client (or signing up)
- Account details: your name, email, company name, and the answers you give the signup scorecard (business size, call volume). These size your quote and build your receptionist.
- Business facts you provide at onboarding: services, service area, hours, pricing rules — used only to make the receptionist answer as your business.
- Call data on your line: recordings, transcripts, caller details, and bookings, kept so your dashboard can show you every call.
- Payment: handled by Stripe. Your card number never touches our servers — we see only what Stripe reports (that an invoice was paid, and the last four digits).
3. What we don't do
- No selling or renting of anyone’s data. Ever.
- No advertising trackers on this website.
- No outbound cold calls — the receptionist answers your line; it does not dial strangers.
- No secret recording — the spoken notice opens every call and cannot be turned off.
4. Who processes data for us
Running the service means using a small set of infrastructure providers, each of which processes data only to provide their piece of it:
- Retell AI — the voice platform that runs the receptionist and telephony.
- Supabase — the database behind your dashboard.
- Vercel — hosting for this site and the client portal.
- Cal.com — scheduling; bookings are written to the calendar connected at onboarding.
- Stripe — payments and invoices.
5. Retention and deletion
Call records exist for the client’s dashboard, so we keep them while the client’s account is active. When a client leaves, their account data and call records are deleted on request. Anyone — client or caller — can email firstringphone@gmail.com to ask what we hold about them or to have it deleted; we answer within thirty days.
6. Changes and contact
If this policy changes materially, we’ll email clients before the change applies and update the date at the top. Questions: firstringphone@gmail.com.
